Hidden folders can keep confidential information securely hidden in a Data Room. By default, Administrators, Moderators, and Collaborators can view hidden folders. Only Administrators and Moderators can grant access and permissions to hidden folders or reveal hidden folders.
The Data Room displays hidden folders in gray or transparent in the Files section and strikes through the Permissions and Sharing eye icon. Hidden folders can be created at the top level of the folder structure or nested within another folder.
Creating a Hidden Folder
- Navigate to the desired Data Room Files location, click the Create button, and select the Folder option.
- Provide a Folder Name and set the Hidden? toggle to the on position.
- Click the Create button.
- The Data Room immediately creates the hidden folder and displays it in gray with the Permissions and Sharing eye icon struck through.
Hiding Existing Files/Folders

Navigate to the folder within the Data Room and click on the
Permissions & Sharing icon (eye and silhouette).

Click on the Permissions tab and set the
Restrict Access toggle to the on position.
The Data Room automatically updates the Set a default Role drop-down to Access
Denied.
- Close the Invite User pop-up and the hidden folder is displayed in gray with the Permissions and Sharing eye icon struck through.
Managing User and Group Access to Hidden Files/Folders
Administrators and Moderators can provide users or Groups access to hidden folders and files using the Permissions and Sharing feature. Note: any additional hidden folders nested within a hidden folder are inaccessible by the user(s) or Group until they are provided access.

Navigate to the folder within the Data Room and click on the
Permissions & Sharing icon (eye and silhouette).

Groups: From the Groups tab, locate
the Group and select the permission level using the drop-down menu.

Users: From the Users tab, locate
the user that needs access and change their permissions from Access
Denied to the desired role using the drop-down menu.

Revealing a Hidden Folder
Administrators and Moderators can reveal a hidden folder within a Data Room. This allows parties to limit folder access in the Data Room and open access to a wider audience at the appropriate time.
- Navigate to the hidden folder name within the Data Room and click on the Permissions & Sharing icon (eye and silhouette).
- Click on the Permissions tab and set the Restrict Access toggle to the off position.
- The folder is now viewable and accessible to all users and Groups.
