Project Administrators have multiple options to close out a Data Room after completing the Deal engagement. Downloading the contents of the Data Room, exporting the activity log, and exporting the metadata are common tasks when closing a deal. Do it yourself or contact the SRS Acquiom Support Team to do it on your behalf.
Self-Service
Project Administrators can download the Data Room folders, files, and export Data Room activity in a snap.
Download Data Room Contents
Download all the Data Room contents with two clicks! Navigate to the Data Room Files section, click the checkbox on the far right of the toolbar, and click the Download button on the toolbar. A compressed ZIP file of the Data Room contents automatically downloads to your local drive. The ZIP file name is the same as your Data Room name.
Download Data Room Activity
The Analytics Notifications page lets you download a comma-separated file (.CSV) that includes all the activity from all your projects' Data Rooms. This file can act as an activity log for your Data Room. Use filters to isolate activity in a specific Data Room.
- Navigate to the Analytics page and click Notifications from the left sidebar. The activity on this page includes all of your projects' Data Rooms.
- Click the Filters button in the top-right of the screen. Select the filters to isolate the activity you want to include and click Apply.
- Click the Export button in the top-right of the screen.
- You will receive an email with a link to download the Data Room activity file.
Once you receive the export email, click on the Download Your Export button embedded in the email. The link is verified before automatically downloading the requested export file.
Download the Data Room Index and Metadata
Finally, export the Data Room Index and Metadata. With just a few clicks, you can generate exports of the Data Room Index and Metadata that are emailed to you. The files are available in comma-separated value (.CSV) format and the Data Room Index is also available in PDF format.
- Open your Data Room and click the Export icon.
- Click the Data Room Index Download a CSV or Download a PDF button. The Generate Data Room Exports pop-up automatically closes. A message at the bottom of the screen notifies you that your export is being generated and the email address the export is being sent to.
- Since the Export pop-up automatically closes after generating an export, click the Export icon again.
- Click on the Data Room Metadata Download a CSV button. The Generate Data Room Exports pop-up automatically closes. A message at the bottom of the screen notifies you that your export is being generated and the email address the export is being sent to.
Once you receive the export email, click on the Download Export button embedded in the email. The link is verified before automatically downloading the requested export file.
Archive/Delete Data Room
Now that everything is downloaded and exported from your Data Room, you can complete the final step. You have the choice to Archive or Delete the Data Room.
Archiving the Data Room
Archiving allows you to hide Data Rooms that are no longer active while retaining all data in the Data Room. Archived Data Rooms are not displayed in your list of Data Rooms and are inaccessible to users, but are accessible by Project Administrators.
Only Project Administrators can archive and restore Data Rooms.

Deleting the Data Room
Deleting a Data Room permanently deletes the Data Room, folders/files, index, activity, and metadata. Data Rooms can only be deleted by Project Administrators.
- Navigate to the Home page and locate the Data Room you want to delete.
- Hover over the Data Room name and click the Delete Data Room trashcan icon.
- Confirm that you want to delete the Data Room by clicking OK.
You can contact the SRS Acquiom Support Team (support@acquiom.com) if you accidentally delete a Data Room. They can restore files that were deleted by mistake within 30 days.

Our team can help facilitate the transfer of all your Data Room contents, activity, and metadata.
