The SRSA Data Room Analytics feature provides Administrators and Moderators* insight into activity throughout Data Rooms, users, groups, folders, and invitations. Home in on a wide range of activities, from how often and who is accessing files, to who has or hasn’t accepted invitations to collaborate. Apply filters to pinpoint the precise data you want to review, download reports for each Analytics segment, and export a list of notifications for audit purposes.
* Only Administrator and Moderator roles can access this data.
Reviewing Analytics
From the Home Page or Data Room, click on Analytics in the navigation bar. Select an Analytics segment using the left sidebar and apply filters within each segment to retrieve the data you need.
Analytics segments include:
- Activity: Displays the number of files accessed in a Data Room or by a user within a specified date range.
- Users: Displays the number of files accessed in a Data Room by a user or Group within a specified date range.
- Groups: Displays the number of files accessed in a Data Room by a Group within a specified date range.
- Files: Displays the files accessed in a Data Room by a Group or user within a specified date range. Select a file to see the users who accessed the file.
- Data Rooms: Displays the number of times users accessed a Data Room within a specified date range. Click on a Data Room to see the files that were accessed.
- Invitations: Displays the invitations sent and the invitation status including a graph with the percentage of accepted invitations.
- Notifications: Displays a list of all activity events. Apply filters to display the specific Data Room, action, and date range. Export the Notifications list for audit purposes.
Downloading Analytics Reports
Each Analytics segment has a Download Report button that allows users to download the analytical data in comma-separated value (.CSV) format. The Notification segment has an Export feature that works in a similar fashion.
Access the desired Analytics segment, apply your filters, and click the Download Report button. The data is immediately downloaded in CSV format to your local drive.
